Problem Definition 

Company’s printing department gets 30-40 Artwork designs related to orders every day.  Clients are powerful and core business area depends on the shared Artworks and any delay, mismatch or miss out can lead to business loses. It’s very important to find a reliable solution to avoid human errors and standardize Artwork download process.  
Importance of RPA Implementation to address major challenges is identified and it increases productivity and efficiency while optimizing the current process.

• Time zone difference of clients hence Artworks receive after core business hours
• Artwork files are large where significant time is required to download 
• Downloading large files during core business hours leads to network slowness 
• Clients are awaiting on the download confirmation where it is getting delayed 
• When download gets fails separate effort is required to re-try 
• Merchandisers cannot engage downloading task full time during core hours

How RPA addresses the challenges



Since Downloading is not the main task of the merchandisers and its significantly affecting the productivity of core business functionalities of merchandisers, we wanted to free merchandisers from Artwork download task, implementing Robotics Process Automation. A group of MIT BOTs were allocated to read the mails, extract download links, categorize designs, download designs, store them in file store and send them to printer. MIT BOTs handle end to end journey of the entire Artwork download process. If download fails, BOT will retry and resume the downloads.
